Inghams Transfer & Excursion Co-ordinator

 

Location:   Lapland, as stated on your fixed term contract of employment.

Reports to:   Operating Office Manager

Liaise with:   Resort Manager

 

You will be responsible for the overall running and maximum profitability of the excursion programme in your given resort. Your role will be to provide the Inghams guests with the highest level of service and standards in line with our company values and to maintain our excellent reputation.

 

PRE-SEASON

Attend a pre-season briefing/training course.
Meet with local suppliers of accommodation, lift pass, ski school and equipment hire and confirm the arrangements for orders, purchasing and logistics.
Liaise with the Health & Safety department with regard to property self audits and excursion suppliers audits.

CUSTOMER SERVICE

  • Handling any guest grievances and complaints effectively, whilst demonstrating courtesy, consideration and genuine kindness.
  • Assist with Christmas Parties (December only).

 

QUALITY CONTROL, HEALTH & SAFETY

Apart from our own high standards of quality and the obligation to supply services in accordance with the promises made in our brochure/website we are bound by law – the EC Directive to meet certain standards of operation.

  • To have read, be familiar with, and follow company guidelines as set out in the Overseas Manual for the appropriate season.
  • Monitor the health and safety issues and disclaimers for our events and excursions.

 

TARGETS
  • Maximise sales and exceed targets set by effective promotion and marketing of in-resort extras such as excursions and evening events together with optional resort extras.

 

COMMUNICATION & WORKING RELATIONSHIPS
  • To communicate with guests, colleagues, hoteliers and suppliers with clarity and good effect.
  • To remain flexible at all times with regard to duties and working hours.
  • To work as a valued member of a team and have empathy with your colleagues.
  • To instigate on going training as required within your team.

 

RESORT ADMINISTRATION
  • Ensure that resort sales are accounted for weekly.
  • To provide information, reports and accounts in an efficient and timely manner as required by the Ops Office and various departments in the UK Head Office.
  • Control the excursions booking made by resort representatives.
  • Control all pre-booked excursions.
  • Assist with the preparation of welcome packs when required.
  • Attend welcome meetings to ensure resort representatives sell with controlled allocations.
  • Maintain enough excursions slots for the excursions to be sold in the most profitable manner.
  • Control all supplier invoices to be submitted for payment to UK.
  • Cross check all invoices with Resort Manager to balance with resort reps accounting.
  • Ensure all cancelled excursions are accounted.
  • Arrange all resort transfers and ensure representatives are kept well informed.
  • Arrange the ordering of coaches with coach companies for transfers and excursions.
  • Print and supply the resort with the reps manifest.
  • Access resort representatives guiding abilities and be instrumental in providing support and on going training.
  • To prepare and control the preparation of a Mid season Report, and End of Season analysis.
